Why Shredding Is Required

Massachusetts Law Requires Proper Document Disposal

Multiple state and federal laws create a legal obligation to destroy records containing personal information. Non-compliance exposes your business to penalties, mandatory breach notifications and civil liability.

MA 201 CMR 17.00

Massachusetts data protection regulation. Every business holding personal information about MA residents must properly dispose of those records. Applies to all industries, not just healthcare.

HIPAA 45 CFR 164.310

Federal healthcare privacy law. PHI on physical media must be rendered permanently unreadable before disposal. Requires documented chain of custody and a Certificate of Destruction.

FACTA Disposal Rule

Federal consumer protection law. Consumer reporting information must be destroyed by shredding or burning. Applies to employers, landlords, insurance firms and financial institutions.

GLBA Safeguards Rule

Gramm-Leach-Bliley Act applies to banks, brokers, insurance companies, mortgage lenders and tax preparers. Requires proper disposal of all customer financial records.

MA 93H Breach Law

Massachusetts data breach notification law. Improperly discarded records that expose personal information trigger mandatory AG reporting, resident notification and civil liability.

NIST SP 800-88

Federal media sanitization standard. Physical destruction is the “Destroy” category – highest assurance level. Required for hard drives and SSDs when data erasure alone is insufficient.

Common Questions

Answers Before You Call

Most questions get answered here. If yours is not, call (978) 636-0301 and we will answer in under two minutes.

How much does paper shredding cost in metro Boston, MA?
Our base rate starts at 99¢ per pound for shredding and recycling. A standard banker’s box (25 to 30 lbs) typically costs $25 to $30 in shredding fees. Two flat fees apply to every job: a HIPAA Certificate of Destruction and Filing fee of $14.95 and an Environmental Recycling Fee of $19.95. Both are per-job, flat-rate, regardless of volume. Business and HIPAA contracts are quoted at a flat monthly rate. Call (978) 636-0301 for a free estimate or see our full pricing page.
Is your shredding service HIPAA compliant?
Yes. We meet all HIPAA and HITECH requirements for the destruction of protected health information (PHI). We issue a Certificate of Destruction on every qualifying job and sign a Business Associate Agreement (BAA) for covered entities that request one. Our process is fully documented from collection through certified destruction and satisfies 45 CFR 164.310(d)(2)(i). See our HIPAA shredding service details.
What Massachusetts laws require businesses to shred documents?
MA 201 CMR 17.00 requires any business holding personal information about Massachusetts residents to properly dispose of those records. This applies to every business, not just healthcare. Healthcare providers also face HIPAA (45 CFR 164.310). Financial firms face the FACTA Disposal Rule and GLBA Safeguards Rule. MA 93H creates breach notification obligations when records are improperly discarded. A Certificate of Destruction documents your compliance with every applicable framework. Read our full MA compliance guide.
What cities do you serve in Massachusetts?
We serve Andover, Lowell, Lexington, Boston, Burlington, Tewksbury, Wilmington, Waltham, Newton, Lawrence, Haverhill, Methuen, Billerica and Fitchburg, MA. Service also extends to southern New Hampshire towns within our 60-mile service radius. Call (978) 636-0301 to confirm current scheduling for your specific address. View all service areas.
How quickly can you schedule a shredding pickup?
In most cases we schedule within two to three business days across all 14 metro Boston cities. For urgent needs, call us directly at (978) 636-0301 and we will do our best to accommodate your timeline. Same-day drop-off at our Tewksbury facility is available during business hours Monday through Friday.
Do I need to remove staples or paper clips first?
No. You do not need to remove staples, paper clips, rubber bands, binder clips or folders. Our industrial shredders handle all standard office fasteners without any preparation on your part. Just bring the boxes as they are.
What is a Certificate of Destruction and why do I need one?
A Certificate of Destruction is a signed document that records the date, volume and method of destruction for your materials. For HIPAA-covered entities it satisfies 45 CFR 164.310(d)(2)(i). For businesses subject to MA 201 CMR 17.00, FACTA or GLBA it provides documented proof of proper disposal. We issue one on every job, a $14.95 fee applies.
Do you also destroy hard drives and electronic media?
Yes. We physically destroy hard drives, SSDs, USB drives, backup tapes and other electronic media. Physical destruction renders all data permanently unrecoverable and satisfies NIST SP 800-88, HIPAA and MA 201 CMR 17.00 requirements. A Certificate of Destruction is issued per device documenting make, model and serial number. Hard drive destruction can be combined with any paper shredding appointment. Call (978) 636-0301 for pricing.
Do you recycle the shredded paper?
Yes. 100% of shredded material is sent to a certified recycling mill. Nothing goes to a landfill. We provide recycling documentation along with your Certificate of Destruction after every job. For businesses with ESG or sustainability reporting requirements, this documentation satisfies internal environmental tracking needs.
