Five Laws Decide How Your Business Destroys Paper.
Massachusetts 201 CMR 17.00. The one every Massachusetts business answers to, no matter the industry. If you hold a resident’s name plus a Social Security number, driver’s license number or financial account number, you need a Written Information Security Program with documented disposal procedures. The regulation requires destroyed records to be unreadable and unable to be reconstructed. Strip-cut does not meet that bar. Our P-4 cross-cut does, and the Certificate documents execution.
HIPAA. Medical, dental and behavioral health practices destroy protected health information under the Privacy Rule. That covers charts, billing files, appointment books, sign-in sheets and labels on pill bottles. We sign a Business Associate Agreement before your first pickup at no charge. The rule we give every new business client: if a document connects a name to a number, it gets destroyed, not tossed. Here is what that means in practice, drawn from nearly two decades inside metro Boston file rooms.
Always shred. Anything with a Social Security number, account number, date of birth, salary figure, medical detail or signature. That includes payroll registers, canceled checks, bank statements, invoices with account numbers, insurance forms, credit applications, personnel files, customer lists with contact details, and price sheets you would rather competitors never see.
